Arena Ready, Upcoming, Tomorrow's, Today's
IN THIS DOCUMENT
1. Arena Ready
The TaskPacks are in the "Arena Ready" section to be prepared for execution. In preparation, at least two pieces of information are required to add for the TaskPack to be executed:
- the Doer, who will execute the TaskPack, and
- the Due Date, which specifies when the TaskPack will be executed.
1.a Preparing the TaskPack for execution
Click on the ellipsis icon (1) and then on Arena Ready (2) in the drop-down menu.
The dialog for TaskPack preparation opens.
There are 6 input fields here — however, only two, Doer (3) and Due Date (4) are required:
(1) CASE
The specification of this TaskPack is entered here if needed.
(2) INSTRUCTIONS
You can enter rich content with images and videos.
(3) DOER *
Doer is required information. Without the Doer assigned, it is impossible to execute a TaskPack. Here we choose a Doer from the list. It's a list from the Processor & Tasker tool. On that list, all the Doers trained to execute the given TaskPack are listed.
(4) WORKSITES
If the TaskPack is designed to run on multiple Worksites, one Worksite can be selected here.
(5) DUE DATE *
A Due Date is required in order to execute a TaskPack.
(6) DUE TIMES
Sometimes it is necessary to be precise and, in addition to the date, specify the time by which the TaskPack must be completed.
How a prepared TaskPack looks in the Arena
In collapsed form
TaskPack gets Doer (1) Due Date (2) and Due Time and CASE (3).
Clicking on the ellipsis icon (4) reveals the drop-down menu with Expand command to view the expanded TaskPack.
In expanded form
The Instructions button (1) appears. Hovering the cursor over it reveals additional content.
Worksite (2) also appears.
In the lower part, a communication bar appears (3), which is used for communication between the Doer and the Process Manager.
1.b Preparing the sequence in the "Arena Ready" section
When preparing the entire sequence in the "Arena Ready" section, only two pieces of information can be added, which will apply to all TaskPacks in that sequence. The prerequisite is that all TaskPacks in the sequence must be imported at once. Please refer to the yellow rectangle below.
Click on the sequence name (1) from any imported TaskPack.
A dialog for sequence preparation opens.
The pane on the right displays two input fields.
(1) SEQUENCE CASE
The specification (CASE) entered here automatically appears in all TaskPacks of the sequence.
(2) SEQUENCE INSTRUCTIONS
The instructions at the level of the entire sequence are entered here.
All TaskPacks of this sequence will contain the same CASE and Instructions.
2. Upcoming
The TaskPack comes in the Upcoming section when we set the TaskPack any day after tomorrow as the Due Date.
It can also appear in the "Upcoming" section when dragged manually into that section. Then it automatically receives the date that is 5 days ahead, which can be altered as needed.
3. Tomorrow's
TaskPack comes in the "Tomorrow's" section when its Due Date is the next day from the current.
The TaskPack can also be dragged manually into this section. Then they automatically get assigned tomorrow's Due Date.
This is the section where the final version of the TaskPack for the next day's execution is prepared.
After that, no action is required. The software will automatically transfer the TaskPacks from the "Tomorrow's" section to the "Today's" section at the end of the day and will be available to Doers.
4. Today's
Here are all the TaskPacks that are being executed on the current working day. This is the section where the execution of each TaskPack is monitored in real-time via the communication functions.
TaskPacks arrive in the "Today's" section by automatic transfer from the "Tomorrow's" section precisely at midnight (00:00). This automatic transfer is the only proper way for TaskPacks to be added to the "Today's" section.
However, it is possible to add the TaskPack to the "Today's" section on the same day by setting today's date as the Due Date.
Note: Once TaskPack gets today's date as Due Date, that date can no longer be changed, nor the TaskPack deleted. Other TaskPack attributes in the "Today's" section cannot be changed either. If such a TaskPack should not be there at that time, it can be canceled.
Archive
The normal Arena view mode does not display the TaskPacks above the "Today's" section to minimize distractions. It's only shown as an indication that there is another section above.
This section is the archive of completed TaskPacks, and it can be viewed by simply scrolling the list. It contains the list of completed TaskPacks for up to 15 months.
