An efficient way of gathering

Business meetings can take various forms and locations, ranging from traditional conference room gatherings (which are often seen as time-wasting) to more advanced alternatives. Here are some examples:

  • Stand-up meetings: These meetings are quick, brief, and conducted without sitting down.
  • Virtual meetings: They are conducted through internet video or audio, allowing participants to connect remotely.
  • Asynchronous meetings: Participants contribute to the meeting at a time that suits them best, without the need for simultaneous presence. Such meetings can span over one or more days but provide individual and overall time-saving benefits.

The choice of meeting format depends on the objectives, participant availability, and efficient use of time. The meeting organizer determines the method of conducting the meeting.


Participants

The participants attending a meeting depend on its type. Predefined teams are typically involved, with the possibility of additional participants. To save time, only those who actively contribute to the work should be invited. "Extras" who are only needed to provide specific information should be avoided. All necessary information should be gathered in advance.


Meeting Structure

Meetings have predetermined structures:

  • Name and purpose of the meeting,
  • Who is the convener,
  • Who are the participants,
  • What are the topics,
  • What result do the meetings end with?

It's important to adhere to the given structure and not deviate from it.


Meeting Pace

Given that the meeting structure is already determined, the focus should be establishing a routine for efficiently addressing topics. Participation should be brief, fast, and precise. This requires full concentration from all participants. Each person knows their role and contribution to the topic, eliminating the need for unnecessary discussions. This approach ensures high meeting speed. These types of meetings differ from regular ones, as they are focused and swift.
