˳How-to... Improvement Box
Improvements are changes or modifications that organizations make to adapt to new circumstances, avoid threats, or capitalize on market opportunities. They can also help to enhance the performance, productivity, and profitability of the existing organizational infrastructure.
“In the enterprise, improvements are carried out by making changes to adapt the company to external and internal changes or by perfecting it. Workanizers use the Improvement Box as a tool to constantly change and adapt their organizational infrastructure to market conditions through iterations.”
All improvement ideas are proposed through the Improvement Box, which is a repository for all business improvement ideas. Any member of the organization can submit an improvement proposal. After submission, the proposal is reviewed and assessed in the Improvement Box. If the improvement idea is approved, a dedicated improvement project is created to execute the proposed enhancements. It's important to note that improvements are exclusively carried out within Workanizers' organizational platform tools.
Note: This tool is not currently included in the software, but as a functional replacement, a form/table template can be downloaded here:

The table is in Google Sheet format.
1. Registering Improvement Proposals
The registration of improvements should be simple and available to everyone, regardless of their location or position within the organization.
Every proposal for improvement should be encouraged, no matter how small or seemingly insignificant or how complex and strategically important it may be.
Registration Form
The form/table for registering improvements should be straightforward and include the following:
- Name of the improvement
- Description of the improvement: The improvement description should provide a more detailed definition of what the improvement refers to in a free-form text field.
- Date of registration
- Who: Name of the person who proposed the improvement.
2. Evaluation of Improvement Proposals
The Top Manager, together with Process Managers and Supervisors, reviews improvement proposals, classifies them by processes, and assigns them to Process Managers or Supervisors to lead the evaluation. They then gather a relevant team and evaluate the improvement proposals.
The Top Manager may take over the evaluation of some proposals, while others may be assigned to the Profit Leader for evaluation.
3. Addressing Improvement Proposals
As improvement proposals have a free form of content presentation, it is advisable to "direct" the improvement proposal to certain Workanizers tools. Then, such an improvement should be described in detail.
We exclusively address improvements to Workanizers modules by using a form/template (see below) to specify the module(s) to which the improvement is addressed and then provide a brief description of it.
The template is available on Google Sheets:

4. Improvement planning
The improvement planning phase involves:
• Providing a description or guidelines on how to carry out the improvement.
• Selecting the implementation leader for the improvement, who is responsible for leading the entire implementation project.
• Establishing a general deadline by which the improvement needs to be implemented.
5. Improvement project
Improvement is carried out through the implementation project.
The project determines the tasks, who will perform which task, and when in order to implement the improvement. The selected improvement implementer sets up and carries out the project and tracks the progress of the implementation and control.
It is important to keep a record of:
- Whether the project was set up or not
- Whether it was completed and when
- Whether it was delayed
The project's activities should be synchronized and coordinated in parallel with other tasks in the Arena.
Recognition for Proposers and Outstanding Participants in Implementing Improvements:
It is essential to publicly acknowledge and recognize individuals who have proposed improvements and outstanding participants who have implemented them through the Improvement Box and provide them with other incentives as planned. This activity takes place in the Incentive Box.
